## Why we built it

Proving that SAP Document AI *can* automate a process is the easy part. The harder question is whether a specific use case is worth the investment — and that question gets answered in a budget meeting, not a technical one.

The ROI Calculator bridges the two. It turns a document workflow into a financial business case: what the current manual or legacy process costs today, what SAP Document AI would cost, and how long it takes to pay for itself. The output is the concrete cost-benefit data you need to justify the move to leadership.

It is a tool we built at Inclusion Cloud and **offer free of charge to our clients and workshop attendees**. There is nothing to buy, install, or license, and you can run as many scenarios as you like.

## Getting in

There is no password to create or remember. You enter your email, we send you a sign-in link, and clicking it takes you straight in — the link expires an hour after it's sent.

From there, setup is just your **company name** and **industry**, and you're ready to build your first use case.

## What you'll need

The calculator walks you through two short input steps. Rough estimates are fine — you can refine them later and watch the numbers move.

**Step 1 — Volume and document parameters**

* Documents processed per month
* Average pages per document
* Fields you need extracted from each document

**Step 2 — Current manual and legacy costs**

* Minutes to process one document today
* Fully loaded hourly cost of the people doing it
* Maintenance and licensing cost of your existing capture software
* Any fixed per-document fees or other operational overhead

You'll also enter a **one-time automation cost** on the ROI summary — your estimate for integration, support, and change management. That figure is what the payback period is measured against.

## What you get back

* **Current process cost** — total manual effort per month, the headcount equivalent, and what your current process costs per month and per year
* **SAP Document AI cost** — your metered volume converted into blocks of 100, the SAP pricing tier that volume lands in, and the resulting annual cost
* **Side-by-side comparison** — monthly and annual cost charts putting the current process next to SAP Document AI
* **3-year projection** — cumulative savings across the standard three-year IT investment horizon, with your payback point marked on the curve
* **ROI summary** — monthly savings, annual savings, payback period in months, and ROI percentage
* **Optimization strategies** — practical levers that lower your metering cost further: reducing the pages you send for extraction, field discipline, tier planning, batch processing, and deduplication
* **PDF export** — generate a report you can share with internal stakeholders

If the numbers show automation isn't cost-effective at your current volume, the calculator says so plainly and points you at the inputs worth revisiting. That is a useful answer too — better found here than after a signed contract.

## Working with your team

* **Save and revisit** — every use case is stored under your account, so assumptions can mature over time instead of starting from a blank page
* **Invite colleagues** — add teammates by email so they can review and contribute to the same use cases
* **Share a read-only link** — publish a use case as a link anyone can open without signing in, for the stakeholder who just needs the summary
* **Track status** — mark each use case as Draft, Business Evaluation, Approved, Rejected, or Delivered to keep a portfolio of candidate workflows organized

## About the estimates

Pricing in the calculator is based on **SAP Document AI Premium Edition** (Workspace APIs and OData V4) and covers block-based consumption, which is the dominant cost driver. Depending on your contract, additional line items may apply — such as API request fees and user licenses.
